How to Choose a CRM for a Small Business in India
How to choose a CRM for a small business in India: map your sales process, check WhatsApp and IndiaMART links, compare costs with GST and run a real trial.

To choose a CRM for a small business in India, start from how your sales actually happen (where leads come from, who follows up and how deals close) and shortlist two or three tools that handle those steps without workarounds. The deciding factors for most Indian SMEs are WhatsApp and lead-source integrations, ease of use on a phone, total yearly cost including GST, and whether your team will actually use it every day.
The brand matters less than the fit. A popular CRM that doesn't match your process becomes another tab nobody opens.
Start with your sales process, not the software
Before you look at a single demo, write down your sales process on one page. Answer these questions:
- Where do leads come from? Website forms, IndiaMART, JustDial, Google Ads, walk-ins, phone calls, WhatsApp, referrals?
- Who follows up first, and how fast?
- What are the stages a deal passes through, from first contact to payment?
- What happens after the sale: delivery, installation, renewal, repeat orders?
- What do you, as the owner, want to see every Monday morning?
This page becomes your requirements list. It also shows whether you need a sales CRM at all, or something closer to a support desk or an order management system.
Which features matter for Indian small businesses?
Most CRMs share the same core: contacts, companies, deals, tasks, a pipeline view and reports. The differences that matter in India tend to be in the edges.
WhatsApp. For many Indian businesses, WhatsApp is the main sales channel. Check whether the CRM connects to the official WhatsApp Business Platform (the API), logs conversations against the contact, and lets several team members reply from one number. Integrations through unofficial tools that automate the ordinary WhatsApp app risk getting your number banned.
Lead sources. If you buy leads on IndiaMART or JustDial, look for a direct integration or a reliable connector, so leads land in the CRM within minutes instead of being copied by hand at day's end. The same goes for Meta lead forms and website forms.
Phone calls. Field and inside sales teams in India still close a lot of business on calls. Click-to-call, call logging from the mobile app or a cloud telephony integration saves your team from writing notes afterwards.
Mobile app. If your salespeople spend the day visiting dealers or sites, test the mobile app on the phones they actually carry, including mid-range Android handsets.
Language and invoicing. Check whether the interface and templates work for your team, and whether quotes and invoices can carry GSTIN, HSN/SAC codes and INR formatting, or connect to your accounting software such as Tally or Zoho Books.
Common CRM options for small businesses in India
Several CRMs are widely used by Indian SMEs. This isn't a ranking; each suits a different kind of business.
| CRM | Often a good fit for | Things to check |
|---|---|---|
| Zoho CRM | Businesses wanting a wide suite (books, inventory, desk) from one vendor | Edition limits on automation and integrations |
| Freshsales (Freshworks) | Teams wanting built-in phone and email with a clean interface | Which features sit in higher plans |
| HubSpot CRM | Businesses with strong inbound and content marketing | Paid tiers rise quickly as contacts and seats grow |
| LeadSquared | High-volume lead businesses such as education, healthcare and lending | Better suited to larger teams; setup effort |
| Salesforce | Growing firms with complex processes and budget for setup | Cost and the need for an admin |
| Pipedrive | Small B2B teams that live in a simple pipeline | Fewer India-specific integrations out of the box |
Pricing and features change often, so check each vendor's current INR pricing page and plan comparison. Many offer free plans or trials that are enough to test with real data.
Work out the real yearly cost
The headline price per user is only part of the cost. Build a simple yearly figure that includes all of it.
Here is a worked example. A building materials distributor in Indore has six salespeople, one sales manager and the owner, so eight users. Suppose the plan it needs costs ₹1,200 per user per month when billed yearly. That's ₹9,600 a month, or ₹1,15,200 a year. Add 18% GST, and the licence cost is ₹1,35,936. A WhatsApp integration add-on at, say, ₹2,000 a month adds ₹24,000 plus GST (₹28,320). Then add one-time setup: importing old customer lists, building the pipeline stages, connecting IndiaMART and training the team, which might take a consultant or internal person 20 to 40 hours.
So the first-year cost is closer to ₹1.65 lakh plus setup time, not the ₹1,200 on the pricing page. The numbers here are illustrative; the method is what matters. Compare tools on this full figure, and remember that registered businesses can usually claim input tax credit on the GST.
Run a proper trial before you sign
Demos show the best case. A trial shows your case. Use these steps:
- Pick two shortlisted CRMs and set up a trial of each with the same 50 to 100 real leads.
- Have two salespeople use each one for a week, logging calls, sending WhatsApp messages and moving deals.
- Build the Monday report you want as owner, and see how long it takes.
- Test the import and, just as important, the export. You should be able to take all your data out in a usable format if you leave.
- Ask the vendor how customer data is stored and protected, since contact data falls under India's DPDP Act and you're responsible for how it's handled.
Choose the tool your team found easiest, as long as it meets your must-haves. A CRM with fewer features that everyone uses beats a powerful one that people avoid.
When not to buy a CRM yet
A CRM isn't always the right next step. If you have one salesperson and fewer than 30 active leads a month, a well-structured Google Sheet with a WhatsApp Business label system may serve you fine for now. If your process isn't settled, for example you're still changing what you sell or to whom, configure later, or you'll rebuild the pipeline twice.
And if the real problem is that nobody follows up, software won't fix it on its own. Agree response times and follow-up rules first; the CRM then makes them easier to keep. If WhatsApp is where most of your conversations start, it's worth reading our guide to a WhatsApp chatbot for business alongside this one, since the two often work together.
FAQ
Is a free CRM good enough for a small business?
Often, at the start. Free plans cover contacts, deals and a pipeline for small teams, and you can upgrade once you need automation, more users or integrations.
How long does it take to set up a CRM?
A simple setup with clean data takes a week or two. Expect three to six weeks if you're importing messy spreadsheets, connecting lead sources and WhatsApp, and training a sales team.
Should I get a custom CRM built?
Usually not at first. Ready-made CRMs cover most small business needs at lower cost; custom builds make sense only when your process is unusual and stable, and an off-the-shelf tool has been tried and fallen short.
