WhatsApp Chatbot for Business: Setup, Cost and Use Cases
How a WhatsApp chatbot for business works in India: the Business Platform, providers, Meta message pricing, real monthly costs and use cases that pay off.

A WhatsApp chatbot for business runs on Meta's WhatsApp Business Platform, usually through a provider such as Gupshup, Interakt, AiSensy, WATI or Twilio, and answers customers automatically on your business number. Setup takes a verified Meta Business account, a phone number not tied to a personal WhatsApp, approved message templates and a bot built either from rules or on an AI model. Your monthly cost combines the provider's subscription, Meta's per-message charges for messages you start, and AI usage if the bot uses a language model.
How a WhatsApp chatbot works
The ordinary WhatsApp Business app on your phone can't run a chatbot. Automation needs the WhatsApp Business Platform, which Meta offers through its Cloud API. Most Indian businesses reach it through a Business Solution Provider (BSP), which gives you a dashboard, a shared inbox for your team, a bot builder and support with Meta's approval steps. Developers can also connect to the Cloud API directly and host the bot themselves.
Two rules shape everything you build.
The 24-hour customer service window. When a customer messages you, a 24-hour window opens. Inside it, you can reply freely with any message. Outside it, you can only send pre-approved template messages.
Templates and opt-in. Any message you start (an order update, a reminder, an offer) must use a template that Meta has approved, and the customer must have agreed to receive messages from you. Templates fall into categories: marketing, utility (order and account updates), and authentication (one-time passwords).
Use cases that actually pay off
Not every business needs a chatbot. These are the uses where it tends to save real staff time or bring in revenue:
- Order status and tracking for D2C brands. "Where is my order?" can be most of a small brand's support volume. A bot that looks up the order by phone number and replies with the courier link handles it instantly.
- Appointment booking and reminders for clinics, salons and coaching centres. The bot offers slots, confirms the booking and sends a reminder the day before, which cuts no-shows.
- Lead capture for real estate, education and B2B. The bot asks budget, location or course, then passes a qualified lead to sales with the details filled in.
- FAQs in Hindi and English. Fees, timings, documents required, return policy. An AI bot can answer from your own policy documents in the language the customer writes in.
- Payment links and collections. Sending a UPI or Razorpay link with a reminder before a due date.
- Catalogue browsing for small retailers. Customers see products, ask questions and place an order without leaving WhatsApp.
Rule-based bot or AI chatbot?
A rule-based bot works from menus and buttons: "Press 1 for order status, 2 for returns." It is cheap, predictable and fine when customers' questions fall into a few clear buckets.
An AI chatbot uses a language model to understand free text such as "my parcel hasn't come and it's been five days" and answer from your documents and systems. It handles messy questions, Hinglish and follow-ups far better, but costs more to build and run, and needs guardrails: what it may answer, what it must refuse, and when it hands over to a person.
Many businesses do best with a mix: buttons for common tasks, AI for open questions, and a clear "talk to a person" option on every path. We cover the general limits of AI chatbots in more detail in what AI chatbots can and can't do for a business.
Setup, step by step
- Set up and verify your Meta Business account with your business documents. Verification raises your messaging limits and is needed for a display name and, later, any verified badge.
- Choose a phone number. It must not be active on a personal WhatsApp account. Some providers now support using the same number in the WhatsApp Business app and the platform together, with limitations, so ask your provider if you want to keep your current number.
- Pick a provider or go direct. A BSP is faster for most small businesses. Going direct to the Cloud API makes sense if you have developers and want full control.
- Write and submit templates for every message you will start: order updates, reminders, offers. Approval is often quick, but vague or promotional wording in a utility template gets rejected or reclassified.
- Build the bot flows and connect your systems: your store, CRM, booking tool or Google Sheet.
- Test with real questions collected from your existing chats before going live, and set a clear handover to a person.
New numbers start with a limit on how many customers you can message first each day. The limit rises as you verify your business and keep message quality high, so don't plan a large broadcast in your first week.
What a WhatsApp chatbot costs
The cost has three parts, and they vary widely, so treat these as typical market ranges.
| Cost | What it covers | Typical range in India |
|---|---|---|
| Provider subscription | Dashboard, inbox, bot builder | From around ₹1,000 to ₹10,000+ a month by plan and team size |
| Meta message charges | Templates you send | Charged per delivered template; marketing costs most, utility and authentication much less |
| AI usage | Language model calls, if AI is used | From a few hundred rupees a month upward, by volume |
| Build | Flows, integrations, AI setup | One-off; a simple menu bot costs far less than an AI bot connected to several systems |
Meta's charges change, so check the current WhatsApp Business Platform pricing page for India. Replies inside the 24-hour customer service window are free from Meta's side, so a bot that mostly answers incoming questions has low message costs. Marketing broadcasts are where bills grow.
A worked example
Take a physiotherapy clinic in Indore that gets about 60 WhatsApp enquiries a day, or 1,800 a month, and sends 900 appointment reminders a month.
Say the provider plan costs ₹2,500 a month. The reminders go out as utility templates; if a utility template costs around ₹0.12 (check the current rate card), 900 reminders come to about ₹110. If each AI-handled conversation costs about ₹0.50 in model usage, 1,800 conversations come to ₹900. Replies to enquiries cost nothing from Meta, because they fall inside the customer service window.
That totals roughly ₹3,510 a month in running costs, plus the one-off build. If the bot books even a few extra sessions a week that would otherwise have been missed overnight, it covers itself.
When a WhatsApp chatbot is a bad idea
If you get ten messages a day and a staff member answers them within minutes, a bot adds cost and can make you feel less personal. If your answers depend on judgement, such as legal or medical advice, keep a person in the loop and limit the bot to booking and basic information. And if your plan is mostly to blast offers to bought contact lists, stop: it breaks Meta's policies, gets numbers blocked, and under India's DPDP Act you need proper consent to process people's data.
FAQ
Can I use my existing WhatsApp number for a chatbot?
Often yes, after moving it to the Business Platform or using a provider that supports running the app and platform on one number. Back up your chats first and confirm the process with your provider.
Does a WhatsApp chatbot work in Hindi?
Yes. Rule-based bots can show menus in Hindi, and AI chatbots can understand and reply in Hindi, English and mixed Hinglish if they are set up and tested for it.
How long does it take to set up?
A simple menu bot on a provider can go live in a few days once your business is verified and templates are approved. An AI bot connected to your store or CRM usually takes a few weeks including testing.
If you'd like one built and tested on your own chats, the AI Development team at Amionyx builds WhatsApp and website chatbots with clear handover to your staff. You can read more about our work as an AI development company in Indore.
